Your Function Point system is full of information and capabilities, some of which might not be necessary for all of your staff members to access. To control what staff members can see and do in FP, you can create and edit Permission Sets, as well as change the permissions of individual staff members. Keep reading to learn how.
Access the Permission Sets Area

From the Admin menu, navigate to Rate and Staff Management > Permission Sets.
You will then have the option to apply a pre-built permission set to staff members, create a new permission set or make changes to an existing permission set.
If you would like to adjust the permissions of an individual staff member, navigate from the Admin menu to Rate and Staff Management > Staff, Staff Rates and Permissions, then follow the instructions here.
Apply a Pre-Built Permission Set to Staff Member(s)
1. Pick one of the pre-built Permission Sets in your system, or one you have created previously. Click the Select button when you're ready.


3. Once you confirm this is the permission set you want to assign to your staff member, simply click the checkbox beside their name in the Add/Remove Staff area.
Click Submit when you're ready.
The staff member's permissions will change immediately. Select another Permission Set and assign it to other staff members as needed. Just follow the same steps as above.
Create a New Permission Set

- From the Permission Sets area, select Create New from the "Choose List" dropdown menu
- A checkbox labelled "For Client Portal User" will appear. Check this box if you are creating a Permission Set for your FP Portal users to use, rather than a Permission Set for your staff members.

- Select the permission group/s or specific permission/s within a group to add to your new Permission Set by selecting the checkboxes of those you'd like to include.
- If you want to assign this Permission Set to a staff member, click the checkbox beside their name. Otherwise, skip this step
Click Submit when you're ready.
Note: When making your Permission Sets, there are some sections that you may want to pay extra attention to:
- Tasks > Tasks | Delete, and Task | Delete Others
- Who should be able to delete their own Tasks and others' Tasks?
- Reports and Data Export > Report | Profit Analysis
- Who should have access to reports on profitability?
- Salary/wage info
- Who should be able to see staff hourly wages and payroll reports?
Make Changes to a Permission Set

- Select the Permission Set that you'd like to change from the "Choose a Permission Set" dropdown menu, and click the Select button.
- Select or deselect permission groups and/or specific permissions.
- Select or deselect staff members you'd like the updated permission set to apply to. The permissions of staff members who already had this permission set assigned to them will update automatically.
Click Submit when you're ready.
Managing Individual Staff Permissions

You can also view and manage the permissions for individual staff members. From the Admin menu, choose Rate and Staff Management > Staff, Staff Rates and Permissions.
From the resulting Staff List, click the Permissions button for the staff member whose permissions you would like to edit.

You will land on the particular permissions for this staff member. From here, you can choose to assign them to a different Permission Set.
You can also adjust the permissions they currently have by adding or removing specific permissions or permission groups. However, we do not recommend this method as it will remove the staff member from their current Permission Set. Instead, we recommend either assigning them to an existing Permission Set or creating a new Permission Set.
