In your fp. system, tracking time is an important part of your workflow. Tracked time allows you to not only see how long certain types of work or Tasks really take, but timesheet values also provide agency owners a clear look at agency profitability.
Time can be tracked to the Job, or to the Task, and can be tracked using one of two methods - by Duration, or by Start/ Stop. Staff members within an agency can track time in the way they prefer, so long as their user settings have been configured properly.
Please review this article to learn more about how tracking by each method works and looks.
Where you can select the time tracking method
To select the preferred time tracking method for yourself, or members of your team, you will need access to the Admin area of your fp. system. From the Admin menu, choose Rate and Staff Management > Staff Staff Rates and Permissions.
From this list view you can see which time tracking method each team member is using currently. Just click the name of any team member who wants to track time the other way.
Note that although you can change methods as often as you wish, it is best to pick one and stick with one for the sake of keeping clean time tracking reports.
To track time by Duration, make sure the Work by Duration box is ticked. To work by Start/ Stop, untick this box.
Click Submit to save any changes you make.
This is how tracking time by Duration will appear on the Classic Dashboard view. Required fields are marked in blue and include the Work Date, the Duration, the Job and the Service.
You can then type in the amount of time (aka the duration) you worked on the Job or Task, select the Service you worked on, and click Submit.
This option will open in a new tab, and allow you to connect to Jobs you work on, and add time across all the days of the week in one screen. You can also easily toggle between weeks at the top of the page.
Using Duration, you will also have the option to use a Time Clock on your Dashboard - but note that if you navigate away from the Dashboard screen, the timer will stop. A better option, should you wish to use a time clock is to open the Timesheet Window.
This will open in its own window. You can then navigate around your fp. system, and the clock will keep running.
Start/ Stop Method
This is how tracking time by Start/ Stop will appear on the Classic Dashboard view. Required fields are marked in blue and include the Work Date, Start Time, End Time, the Job and the Service.
You can then type in the clock times you worked on the Job or Task, select the Service you worked on, and click Submit.
If we clicked Start (to start the timer) and navigated away from the Dashboard, data would not be saved. You do have the option of using the Timesheet Window though, which can be found under the Timesheets module on the main navigation bar.
This will open in its own window. You can then navigate around your fp. system, and the clock will keep the record of the time at which you started working.
Regardless of which way you keep track of and track your time, remember that time tracking is a hugely important piece of your fp. system. These tracked hours will be key to monitoring and improving your job estimating, as well as provide insight to budgeted time, and company profitability.
