Once you have created a proof, you should establish its Approval Workflow. If you have not yet set up a Proof, check out this article to learn how: How to Create a New Proof
An Approval Workflow dictates the stages of approval that the proof must go through such as "Internal Approval" and "Client Approval", along with which individuals will be participating in the each stage.
Only once a proof has been Approved by a Stage of approvers will it move on to the next Stage.
Creating Your Approval Workflow
Now you’ll want to create your approval workflow. This process involves creating proofing stages. You can have one or multiple Stages. For each stage, you’ll choose approvers for the Proof, pick when they will be notified, and customize the notification email. Click the Edit Workflow button to get started.
- Give your workflow a name
- Give your stage a name.
- Select who will be approving this Proof
Once you’ve added approvers, choose the days you’d like them to receive reminders that there is a Proof waiting for them.
Customize the reminder emails they will receive by entering a subject line and body text. If you like what you’ve written, click the Save as Template button so you can use it in the future.
Add additional stages as necessary.
If this is a proofing workflow that you might use again, click the Save as Workflow button so that you can use it easily next time.
Save your workflow when you’re done.
Starting the Approval Process
When you’re ready to begin the first stage of your approval process, click the Start Approval Process button.
This will send an email to all your approvers notifying them that they have a Proof to review, and the approval process has begun!
