Once you have created a proof, you should establish its Approval Workflow. If you have not yet set up a Proof, check out this article to learn how: How to Create a New Proof
An Approval Workflow is comprised of Stages, which dictate the stages of approval that the proof must go through ,such as "Internal Approval" and "Client Approval", along with which individuals will be participating in the each stage.
Only once a Proof has been approved by all Approvers set out in an Approval Stage will it move on to the next Stage in the Approval Workflow.
Creating Your Approval Workflow
From your Proof, select Edit Workflow. This process involves creating proofing stages. You can have one or multiple Stages. For each stage, you’ll choose approvers for the Proof, pick when they will be notified, and customize the notification email.
- Give your workflow a name
- Give your stage a name
- Select who will be reviewing and submitting a decision on the proof during this first stage
You can search for approvers from your internal staff, or simply type in the email of whomever you would like to be an approver (even if their not in your system as a contact).
To the right of each approvers name you will see the settings configured for their reminder emails (which day of the week). You can edit these settings by hovering over Proofs along your top module, and selecting Manage Proof Settings
You can customize the initial email that will be sent out to the Approvers.
1. Give your email a Subject Line and body text. A link to view the proof will be inserted when the email is sent.
2. If this is an email you would like to same for future use, select "Save as Template". You can manage your saved Reminder Templates though Manage Proof Settings in the Proofs tab on your module bar.
3. Once you've completed setting up this stage you can select Add Stage to set up as many approval stages as needed.
Add additional stages as necessary.
If this is a proofing workflow that you might use again, click the Save as Workflow button so that you can use it easily next time. These saved Approval Workflows can also be managed through the Proofs tab on your Module bar.
Save your workflow when you’re done.
Starting the Approval Process
When you’re ready to begin the first stage of your approval process, click the Start Approval Process button.
This will send an email to all your approvers notifying them that they have a Proof to review, and the approval process has begun!
