## What is Zapier?

**Zapier** is an automation platform that connects web applications, allowing users to create workflows—called *Zaps*—that automatically move data and trigger actions between different tools. A Zap is simply a **trigger** ("when this happens in one app…") and one or more **actions** ("…do this in another"). For Function Point users, this means you can wire FP into the rest of your agency's tech stack without custom development.

## What you can automate

Function Point's Zapier integration covers your core workflow end to end. A few examples:

- **Companies & Contacts** — sync new or updated companies and contacts to your CRM (HubSpot, Copper, Pipedrive, Salesforce…), or pull CRM records into FP.
- **Estimates & Jobs** — create an estimate (with service groups and line items) from a won deal, spin up a job from an estimate, and keep job dates in sync with your calendar.
- **Tasks & Timesheets** — turn flagged emails, calendar events, or form submissions into FP tasks, post task comments from chat, and log time from other tools.
- **Briefs & Notes** — capture intake from a web form as a Function Point brief, and log call and meeting notes against a company or job automatically.
- **Expense & Invoices **— push new invoices into your accounting app (Xero, FreshBooks…), and track external expenses and POs.

If an app is on Zapier, Function Point can very likely talk to it.

## What's new in 2.0

- **Everything, not just CRM.** 2.0 adds triggers, searches and actions across Companies, Contacts, Estimates, Jobs, Tasks, Briefs, Notes, External & Internal Expenses, Timesheets and (read-only) Invoices.
- **Cleaner, more usable data.** Every trigger and action returns flat, clearly-named fields. Related records come through as both a name and an ID, dates are standardized, and line items (invoice services, PO lines, estimate lines, brief questions) come through as tidy lists you can map in one step.
- **Smarter actions.** Multi-step business objects—like a full estimate—are created in a single Zap step, with the required-but-fiddly details handled for you.
- **Your existing Zaps keep working.** Zaps built on the previous version continue to run. New Zaps use 2.0 automatically.

## Building your own Zap

The best way to use Function Point in Zapier is to build the Zap that fits your process. Zapier's powerful automation platform makes this quick—see Zapier's [Getting Started guide](https://zapier.com/blog/get-started-with-zapier/) for a detailed overview.

Like any other application in Zapier's platform, Function Point is connected by first **adding a step**, then searching for and selecting the **Function Point** application.

Function Point's Zapier integration includes 35+ triggers and actions—choose the **trigger** (e.g. *New Job*, *New Invoice*, *New Contact*) or **action** (e.g. *Create Estimate*, *Log Time*, *Find Company*, *Create Task*) best suited to your Zap's purpose.

Connect your Function Point account (your agency name, username, and password), map your fields, and turn the Zap on. Mix in Zapier's own **Filters**, **Paths**, and **Formatter** steps for more advanced logic.

## FAQ

<details>
<summary>Why does Function Point provide example Zaps instead of Zapier Templates?</summary>

Zapier Templates are limited in their logic—they don't support branching paths, advanced filters, or robust Code actions. To make automation easier to implement and reduce setup errors, Function Point provides example Zaps that include the full workflow logic, branching, and error handling. You import one and adapt it to your process.
</details>

<details>
<summary>Do I need a paid Zapier account to use these Zaps?</summary>

Uploading pre-built Zaps requires a Team or Enterprise plan. More generally, multi-step Zaps that include branching, filters, or code actions typically require a paid Zapier plan—free accounts may not support all features and offer a limited number of tasks.
</details>

<details>
<summary>Can I customize an imported Zap?</summary>

Absolutely! After importing the `.json` file, you can edit any step, adjust field mappings, or add additional actions to fit your workflow.
</details>

<details>
<summary>Can I use Function Point as both a trigger and an action?</summary>

Yes—Function Point offers 10+ triggers, 7 searches, and 18 create/update actions. For complex workflows, consider using an example Zap as a starting point to save time.
