## Overview

The Function Point (FP) + Stripe integration lets you accept online payments directly from FP invoices using a Stripe account. It’s designed to be simple, secure, and familiar for both your team and your clients.

With this integration, you can:

- Accept online payments via credit/debit cards, ACH, and wallets (based on your Stripe setup)
- Connect a new or existing Stripe account
- Enable a Pay Now button on FP invoices that links to a secure, Stripe‑hosted checkout
- See real‑time payment status updates inside FP
- Automatically sync payment updates to QuickBooks Online (QBO)

> **Important**: All payment processing—including authorizations, payouts, fees, disputes, and declines—is handled entirely by Stripe. Function Point never processes or stores payment details. For transaction‑level issues, you’ll always work directly with Stripe Support.

## Requirement & Considerations

Before getting started, please review the following:

### FP Permissions

To configure the Stripe integration, your FP user account must have the permission **“Manage Accounting Integrations.”**

### Stripe Account

You’ll need:

- Login access to an existing Stripe account **or**
- The ability to create a new Stripe account during set up. The Stripe onboarding flow is launched from FP, but the account itself is created and managed by Stripe.

### Currency

- The native currency of your Stripe account **must match** the currency used in FP.
- Stripe will always charge clients using the invoice record amount in FP.
- This integration does **not** support changing currency on invoice printouts.

### Known Limitations

- **Multi‑Job Invoices** are not currently supported (coming soon).

## 1. Setup & Application

Setting up Stripe in FP takes just a few minutes.

1. Navigate to **Admin → Integrate Accounting → Stripe Integration**.
2. Select the Office you want to configure.
You can connect multiple offices to the same Stripe account if needed.
3. Click **Connect Stripe Account.**
4. Log in to Stripe (or create a new account) and authorize Function Point.

Once connected:

- FP retrieves your available Stripe payment methods.
- Each Stripe payment method is mapped to an FP Payment Method.

If you need to update or add FP payment types, go to: **Admin → System Preferences → List Maintenance**.

> **Tip**: If you change payment types in FP, be sure to [update your QuickBooks mapping](https://functionpoint.atlassian.net/wiki/spaces/FPL/pages/2366210111) as well.

After setup, a **Stripe Payment toggle** appears on FP invoices. When enabled, FP automatically generates a secure Stripe Checkout link and includes it on the invoice

## 2. The Client Payment Experience

From your client’s perspective, paying an FP invoice is fast and familiar.

When a client clicks **Pay with Stripe** on an invoice:

1. They’re taken to a **Stripe‑hosted Checkout page**.
2. They choose their preferred payment method.
3. Stripe processes the payment securely.
4. Stripe sends confirmation emails to both you and your client.

That’s it - no accounts to create, no extra steps, and no exposure of sensitive payment data to FP.

---

## 3. How Payments Appear in FP

FP listens for Stripe payment events and displays key payment details directly on the invoice’s FP Basic Info page, including:

- Payment status & date
- Amount paid
- Payer email
- Stripe transaction ID
- Payment method used

> ℹ️ **Security note:** FP never collects, reads, processes, or stores card or banking details.

---

## 4. How Payments Sync with QuickBooks Online

The Stripe integration is designed to work smoothly with your existing QBO workflow. Note, this automation does not work with QuickBooks Desktop.

### Scenario 1: Invoice already exported to QBO

- Stripe payment is enabled on the invoice
- Invoice has already been exported to QBO

**Result**:
Client pays → payment details appear in FP → payment automatically syncs to QBO and is applied to the invoice.

### Scenario 2: Invoice not yet exported to QBO

- Stripe payment is enabled
- Invoice has not yet been exported

**Result**:
Client pays → payment details appear in FP → when you export the invoice, the payment exports with it.

### Scenario 3: Invoice is out of sync with QBO

- Stripe payment is enabled
- Invoice was exported but is currently out of sync due to other changes

**Result**:
Client pays → payment details appear in FP → payment syncs to QBO when you select **Export Updates**.

### Scenario 4: Stripe integration connected, but Stripe Payment is not enabled

If Stripe is connected but Stripe Payment is not enabled on an invoice:

- The QBO integration behaves as normal
- Payment information is pulled from QBO during manual sync

---

## What-If Scenarios

We know predictability matters—especially for client‑facing payments. Here’s what to expect in common edge cases.

### A client clicks the payment link after already paying:

The client will see a Stripe‑hosted webpage indicating the invoice is already paid.

### A client pays outside of Stripe:

Payments made via another method can still be tracked in FP or your accounting system as usual. The Stripe payment link will remain active unless you disable it.

> **Tip**: If you want to avoid accidental double payments, you can edit the invoice and turn off Stripe Payment.

### The invoice amount changes after sending the link:

Stripe pulls the **current FP invoice amount** at the moment the client clicks the link. Any updates will be reflected automatically.

### The invoice is deleted after sending the link:

The payment link will direct the client to an error page letting them know to get in touch with you.

### Stripe is disconnected with outstanding invoices

Any existing Stripe payment links will stop working. You’ll need to provide clients with an alternative payment method.

## Final Notes

The FP + Stripe integration was built to make getting paid **easy, predictable, and professional** for both your team and your clients.

By combining FP’s invoicing workflows with Stripe’s secure, trusted checkout experience, you get:

- A payment flow clients already recognize and trust
- Faster payments with fewer follow-ups
- Clear visibility into payment status without leaving FP
- A setup that fits naturally into your existing accounting process

The goal is simple: reduce friction, save time, and give your agency a modern way to collect payments without adding operational complexity.
